Job Cost Utilities
PURGE JOBS AND RELATED INFORMATION
This selection purges jobs which are closed and billed and have had no activity after the Purge to Date which is entered in the input screen, and also purges Estimate information dated one year prior to the Purge to Date entered. The Job purge and Estimate purge are two separate processes. A description of each process follows.
Run this utility on January15 of each year to purge jobs which have been closed and billed for more than one accounting year and estimates which have not been used for more than two accounting years.
Example: On January 15, 2005, run this process using a Purge to Date of 12-17-04. This will purge all jobs which have been closed and billed on or before 12-17-04, which is the closing date for the accounting year 1996. This will also purge estimates which have not been used since 12-17-04. The process will leave data on the system for the following time spans:

Check the file statistics report before running this purge process. Size the related files which are listed below to hold a maximum number of records (Jobs - 2 years, Estimates - 3 years), to ensure there is sufficient room for the files.

This Process purges the JOBS file and all files related directly to the JOBS file. The following is a list of all files purged, and for a more thorough explanation of the relationship of these files, there is a flow-chart attached outlining the flow of the program. [SECTION OMITTED]
As a Job is purged, all records related to the Job are concatenated into a record in the JOB.PURGE.TEMP file. When the count of the JOB.PURGE.TEMP file reaches 500 the JOB.PURGE.TEMP file is dumped to storage and then cleared of all data. Purged jobs are recorded in the JOB.PURGE.HIST file, which is keyed by Job Number. [SECTION OMITTED]
